The form editor is the visual builder. You decide sections, field types, required fields, validations, and when a field appears.
How to get here
From Forms, click Edit form. The header reads Edit form: plus the name.
Toolbar
- Back to forms (on phones, Back).
- Preview: try the form without saving.
- Save Form (while working: Saving...).
On custom forms you can also edit Name and Plural name.
Sections
- Click Add section (or Add your first section if empty).
- Enter the Section Name.
- Drag Move section to reorder.
- Use Delete section only if that section is not used in form rules.
Empty: No sections in the form.
Fields
Inside a section click Add field. For each field set:
- Field name
- Field type
- Required / Required field
- Options (select, multi select, file list)
- Validations (gear icon)
- Automations (icons on the field header)
Field types
Text, Long text, Integer, Decimal, Single select, Checkbox, Multi select, Image, File, Files, File list, Subfields list, Date, Date and time, Time.
A Subfields list is for repeating rows. It needs at least one required subfield.
Common validations
Min length, Max length, Regex pattern, Must be email, Must be URL, Min value, Max value, Do not allow future dates, Do not allow past dates, Minimum age (years), Allowed extensions. Reset clears those rules.
When a field appears
- Mathematical formula: calculates a number from other numeric fields.
- Show when: the field appears (and may become required) based on another answer, including one file per selected item.
Save
Diagnosticy checks that the form has a name, a plural name on custom forms, at least one section, and at least one required field.
Success: Form saved successfully.
Leaving with unsaved work shows You have unsaved changes. Choose Stay or Leave without saving.
Tip
Save after each block of work. Use Preview before asking your team to fill the form. These fields become @placeholders in PDF templates.
